As a psychology practice, we may collect sensitive information, including health information, only where reasonably necessary to provide services and with your consent, or as otherwise permitted by law. Sensitive information is handled in accordance with the APPs, and with additional safeguards to protect your confidentiality.
How We Use Your Information
We may collect, hold, use, and disclose information for purposes such as:
- Contacting and communicating with you
- Providing psychology, counselling, assessment, and EAP services
- Internal record keeping and administrative purposes
- Compliance with funding, Medicare, or insurance requirements
- Website and service improvement
We do not use your personal information for unrelated secondary purposes unless we obtain your consent or it is otherwise required or authorised by law.
Overseas Storage of Information
We use trusted third-party service providers to help deliver our services. This means some personal information may be stored or processed on servers outside of Australia, including in the United States. For example:
- Our website is hosted by Bluehost (U.S.)
- We sometimes collect client or administrative information using Google Forms, which may be stored in multiple overseas locations (commonly the U.S. and Singapore)
By providing your personal information to us, you consent to this overseas storage. We take reasonable steps to ensure these providers protect your information in line with the Australian Privacy Principles.
Security of Your Personal Information
We protect personal information against loss, misuse, unauthorised access, modification, or disclosure through secure systems and restricted access. However, no method of electronic transmission or storage is fully secure, and we cannot guarantee absolute security.
We comply with the Notifiable Data Breaches scheme under the Privacy Act and will notify you and the OAIC if your information is involved in a data breach likely to result in serious harm.
Storage of Clinical Files
Clinical files, notes, and appointment records are stored securely in Halaxy, a practice management system widely used by health professionals in Australia. Halaxy uses industry-standard encryption and complies with Australian privacy and health record regulations. Your clinical records are accessible only to authorised practitioners within Regenerative Psychology for the purpose of providing your care.
How Long We Keep Your Personal Information
We keep your personal information only for as long as we need to. This time period may depend on what we are using your information for, in accordance with this privacy policy.
For clinical records, we are required to retain your file for at least 7 years from your last contact with us, or until you are 25 years old if you were under 18 at the time of your last appointment, in line with professional regulations.
If your personal information is no longer required, we will delete it.
Children’s Privacy
We do not aim any of our products or services directly at children under the age of 13, and we do not knowingly collect personal information about children under 13.
Your Rights and Controlling Your Personal Information
You always retain the right to withhold personal information from us, with the understanding that your experience of our services may be affected. You may request access to, or correction of, any personal information we hold about you.
You may also withdraw consent, make a complaint about privacy handling, or ask about our data storage practices by contacting us at the details below.

ChatGPT, an artificial intelligence tool, may be used in creating materials for Regenerative Psychology. While helpful, it does not replace human expertise. All content is reviewed by our team before use. By engaging with our resources, you acknowledge and accept this use.
In some cases, our practitioners may use AI-assisted tools (such as BastionGPT and other secure AI note-taking services) to support clinical administration, including creating summaries or draft notes. These tools are used to assist our clinicians in maintaining accurate records, but they do not replace the professional judgment of your treating practitioner. BastionGPT is specifically engineered to comply with the Australian Privacy Principles, storing Australian user data locally where possible, safeguarding sensitive health information, and offering clear safeguards for trust and transparency.
Limits of Our Policy
Our website may link to external sites that are not operated by us. Please be aware that we have no control over the content and policies of those sites, and cannot accept responsibility for their privacy practices.
