- Providing psychology, counselling, assessment, and EAP services
- Internal record keeping and administrative purposes
- Compliance with funding, Medicare, or insurance requirements

Overseas Storage of Information

Storage of Clinical Files
Clinical files, notes, and appointment records are stored securely inย Halaxy, a practice management system widely used by health professionals in Australia. Halaxy uses industry-standard encryption and complies with Australian privacy and health record regulations. Your clinical records are accessible only to authorised practitioners within Regenerative Psychology for the purpose of providing your care.
How Long We Keep Your Personal Information
We keep your personal information only for as long as we need to. This time period may depend on what we are using your information for, in accordance with this privacy policy.
For clinical records, we are required to retain your file for at leastย 7 years from your last contact with us, or until you areย 25 years oldย if you were under 18 at the time of your last appointment, in line with professional regulations.
If your personal information is no longer required, we will delete it.
Childrenโs Privacy
We do not aim any of our products or services directly at children under the age of 13, and we do not knowingly collect personal information about children under 13.
Your Rights and Controlling Your Personal Information
You always retain the right to withhold personal information from us, with the understanding that your experience of our services may be affected. You may request access to, or correction of, any personal information we hold about you.

In some cases, our practitioners may useย AI-assisted toolsย (such as BastionGPT and other secure AI note-taking services) to support clinical administration, including creating summaries or draft notes. These tools are used to assist our clinicians in maintaining accurate records, but they do not replace the professional judgment of your treating practitioner. BastionGPT isย specifically engineered to comply with the Australian Privacy Principles, storing Australian user data locally where possible, safeguarding sensitive health information, and offering clear safeguards for trust and transparency.
Limits of Our Policy
Our website may link to external sites that are not operated by us. Please be aware that we have no control over the content and policies of those sites, and cannot accept responsibility for their privacy practices.
